- Handles the General Funds of the Association thereby keeping full and accurate account of all receipts and disbursements as well as preparing and delivering monthly reports to the Executive Board and annual reports and ledgers to the external auditor
- Knowledge of bookkeeping, finance, or accounting a plus
- Prepares and monitors an annual budget with officers
- Prepares and distributes all disbursements
- Deposits all earned income into the PTA bank account
- Ensures compliance with tax, regulatory, non-profit and insurance laws
- Ensures that tax letters for Capital Campaign are sent
- Keeps an accurate and cumulative list of all donors throughout the year, and across events. This includes cash and in-kind donations with amounts, dates and all necessary contact information.

- The nominating committee & its chair identifies talented, motivated, and responsible individuals to serve as officers for next year's PTA Board. The committee will present the slate of nominees to the Board and general assembly to be voted upon at the May General PTA Meeting.
Advocacy Committee Chair

- The chair of this standing committee serves on and shall have a vote on the Executive Board
- The advocacy committee and its chair shall develop and organize meetings, activities, and programs to further the goals and purposes of PTA. This committee is tasked with improving communications and relationships between school staff and families; educating families and caregivers on important issues related to the health and educational success of their children; and helping to make each child’s potential a reality.

Due to ever changing COVID-19 Restrictions some of these committees may have a more limited presence this year or the events they support may have to be modified or cancelled.
5th Grade Celebration: VACANT FOR 2023-2024
Usually 2 co-chairs with graduating 5th graders. These chairs are responsible for building a committee to plan and execute the 5th grade celebration (dance) at the end of the year including food, vendors, decor and favors. To supplement the PTA budget the committee also organizes and staffs concession stands at various PTA events throughout the school year. Also responsible for deciding on and sourcing the class gift to the school as well as the 5th grade portrait gallery that is hung down the halls near the end of the year. In recent years they have also prepared a slideshow of photos from the year to play at the promotion ceremony.

This volunteer helps coordinate the annual art fundraiser with Ms. Zelinski, our fabulous art teacher which begins after Winter Break with art purchases arriving before Mother's Day. After coordinating a start date with the Square 1 rep and receiving the materials, the chair takes class rosters and makes stickers for each child and organizes them by class for Ms. Zelinski. Each student prepares their art (during art class) on their labelled paper. Once all art is complete, the chair ensures that all students are accounted for and mails the art back to Square 1 in the provided box. The Art Fundraiser chair assists with getting out information about ordering, helps to submit any check orders received to Square 1, and organizes and distributes the orders that are purchased when they arrive at the school. In charge of contacting local restaurants to set up spirit nights and then providing that calendar to the PTA Board for approval and communication to our families. Works with restaurants to arrange flyers, stickers, or signs to be distributed to create event awareness. Follows up with restaurants after the events to arrange payment of donation. For restaurants that do not wish to mail their donation check, the chairperson is responsible for picking up the check and bringing it to the treasurer for deposit.

In charge of maintaining the appearance of the front walk of the school including (but not limited to) flowers, flower pots, and seasonal decor/wreaths. Also in charge of organizing at least 2 school beautification days (usually right before school begins and in the spring) to help maintain the welcoming appearance for visitors.

Works with the Treasurer to ensure a bingo license is obtained from the State of North Carolina. Works with the Secretary to post the ticket sales, the Treasurer to account for ticket sales, Communications to inform and increase attendance, 5th Grade Committee to staff concessions, and janitorial staff to ensure the event is set up and cleaned up properly. Builds a team of volunteers to man the admissions table, call out bingo numbers, acts as bingo checkers, mans the prize table, and handles food. Solicits prize donations from families and the community and organizes the donation or purchase of food for sale. Must have strong organization skills.

In charge of seasonally updating the PTA bulletin board in the front hallway and maintaining the PTA calendar on the board. This job must be done during school hours but is usually only a once a month commitment to update the calendar and change out the decorations.

In charge of planning and executing one of our most popular family events of the year! Coordinates with vendors for our games and attractions, solicits donations, organizes volunteers, and manages all related parties on the day of the big event. Excellent planning and organization skills required.

The coordinator runs one or two training meetings and must find helpers for classes where no one originally volunteered. Once class parents are up and running, very little maintenance is required except to remind class parents about party emails and to solve any one off issues that come up.

One of our staff's very favorite volunteers! This person is in charge of organizing the fun events that we do for our staff throughout the year.

- They are in charge of deciding on dates and themes for each of the 6 "teacher treat" events held throughout the year. They build sign-ups based on what food they want served to match the theme and provide those sign-up links to Communications at the beginning of the year to post to the website and promote each month. They monitor the sign-up to notify Communications if more volunteers are required for food or help. When the day of the event arrives, they staff the event from set-up (about 9 am) to clean-up (about 2 pm) in the teacher workroom on the day of the event.
- They are in charge of the 2-3 teacher events that we have catered during the year.
- A Back-to-School Breakfast that is held at the teacher retreat in August. Hospitality works with the School's Senior Executive Admin to plan this menu. Hospitality also provides goody bags for the retreat event as a way to welcome teachers back and thank them for all of their hard work.
- A Winter Holiday Luncheon is held in December and is catered by an outside restaurant. Hospitality plans the menu using the PTA budget, orders the food, buys desserts if they are not ordered from the caterer, builds a sign up for volunteers, and sets up/staffs/cleans up the event.
- A Teacher Appreciation Luncheon is held on Teacher Appreciation Day in May each year. Similar to the winter luncheon; hospitality plans the menu using the PTA budget, orders the food, buys desserts if they are not ordered from the caterer, builds a sign up for volunteers, and sets up/staffs/cleans up the event.
- Hospitality plans and executes Teacher Appreciation Week each year (the week is fluid and is determined by the Principal and PTA President each year)
- Events are planned each day of the week for the staff. Hospitality is in charge of deciding on these events and planning and executing them. If volunteers are required, a sign-up is built and provided to Communications.
- One event during the week is often a lunch provided to the staff. Hospitality works with their budget to decide if this can be catered or provided by families. It is planned and executed based on that decision by ordering food or requesting donations. The event is staffed by the Hospitality chair and their volunteers.
- Events are also planned for students each day (I.e. wear your teacher's favorite color, bring your teacher a flower, etc.) and they are provided to Communications to inform the parents and students.
Lost and Found: Rachel Beckley
This job can be performed on your schedule but involves coming in to the Lost in Found periodically to organize and straighten the items. Each quarter, items not collected are bagged up and taken to the front office for pickup by a local charity. Various methods have been used in the past to determine what items have been in the Lost and Found long enough to donate but usually involves tagging items and then providing a pickup date to Communications to announce. Once that date passes, any tagged items remaining are donated while new items that have recently arrived are left to be collected until the next donation date.

Organizes the large pool of volunteers that we have helping out in the BES media center. They provide training to new volunteers and coordinate volunteer shifts. During their shifts, our media center volunteers help kids navigate our book collection, keep our library in order, and assist Ms. Cooper in checking in returned books.

Reflections Art Contest: VACANT FOR 2023-2024
In charge of reviewing the North Carolina Reflections Art contest rules/categories and deciding which categories we will offer for submission. They are then responsible for communicating the rules and contests to the PTA Board VP of Communications to announce the contest. When submissions are received they are mounted and submitted to the appropriate contest contact per the instructions.

Spirit Wear: Tom and Wendy La
In charge of working with our external spirit wear provider to decide on the styles and types of merchandise offered and then working with our creative designers to pick the school logo designs that will be represented. For events where spirit wear is sold in person, this chair is responsible for manning that table or finding volunteers to staff it for them. Also responsible for ensuring that the proceeds of the fundraiser are received and remitted to the treasurer.
In charge of working with our external spirit wear provider to decide on the styles and types of merchandise offered and then working with our creative designers to pick the school logo designs that will be represented. For events where spirit wear is sold in person, this chair is responsible for manning that table or finding volunteers to staff it for them. Also responsible for ensuring that the proceeds of the fundraiser are received and remitted to the treasurer.

Organizes the large pool of general volunteers that we have interested in helping out at BES. When a committee needs to be staffed or an event needs extra help, an email is sent to our Volunteer Coordinator who takes our list of general volunteers (from the spreadsheet populated by our Google Doc sign up) and sends out the information as necessary. This job is very easy to do only from home or during a work break on an as needed basis!

In charge of compiling photos (or taking them) of school events throughout the year as well as using the Jostens software to design our annual year book, taking care to meet the deadlines provided by Jostens (our book publisher).
